Terms of Service

Last updated: October 15, 2026

These Terms of Service ("Terms") govern your use of AI Professor Outreach ("the Service"). By accessing or using the Service, you agree to these Terms.

1. Purpose of the Service

AI Professor Outreach helps students organize professor information, discover publicly available academic research, prepare personalized email drafts, manage outreach, and track replies and follow-ups.

The Service is a productivity tool. It does not provide university admission, scholarship, or immigration decisions.

2. Accounts

You are responsible for maintaining the security of your account and the accuracy of the information you provide. You must not access another user's data without authorization or share your account in a way that compromises security.

3. Academic Information and Documents

You are responsible for ensuring that your CV, transcripts, recommendation letters, research interests, and other uploaded materials are accurate and that you have the necessary rights to upload and use them.

You must not upload documents or personal information that you are not authorized to use.

4. AI-Generated Research and Content

The Service uses AI and external academic sources to help research professors and generate email drafts. Results may contain errors, omissions, outdated information, or incorrect interpretations.

You must verify important research claims, publication details, professor affiliations, and recipient addresses before contacting anyone. The Service does not guarantee that all research sources will be accessible or complete.

5. Email Sending and User Approval

You are responsible for reviewing every outgoing email, its recipient, subject, content, and attachments. The Service requires explicit user approval before sending each email.

Research, draft generation, reply synchronization, and follow-up preparation do not authorize email sending. Follow-up emails also require individual review and approval.

You must use the Service lawfully and respectfully. Do not use it for spam, harassment, deceptive messages, unsolicited bulk messaging, or violations of university policies, Gmail policies, or applicable law.

6. Gmail and Third-Party Services

Gmail integration requires authorization through Google. Your use of Gmail and other third-party services is also subject to their respective terms and policies.

The availability of Gmail, OpenAI, Firebase, academic databases, and other external services is not guaranteed. Third-party changes, rate limits, outages, or permission restrictions may affect functionality.

7. No Guarantee of Admission or Scholarships

The Service does not guarantee professor responses, supervision offers, acceptance letters, university admission, scholarships, or funding.

Admission and scholarship decisions are made by the relevant universities, professors, and scholarship authorities. You are responsible for checking official requirements, deadlines, eligibility, and application procedures.

8. Acceptable Use

You agree not to:

  • Use the Service for unlawful or deceptive purposes.
  • Send abusive, harassing, or fraudulent emails.
  • Bypass sending approval controls or security measures.
  • Attempt to access another user's information.
  • Upload malware or files intended to compromise systems.
  • Abuse external APIs or violate their usage policies.
  • Misrepresent academic qualifications or research experience.

9. Intellectual Property

You retain rights to the content and documents you provide, subject to any rights held by others. You grant the Service the limited permissions necessary to process your content to provide the features you request.

The Service's software, design, branding, and other proprietary elements remain the property of their respective owners, subject to applicable law.

10. Availability and Changes

We may update, suspend, or discontinue features to maintain security, comply with law, or improve the Service. We will make reasonable efforts to communicate significant changes where appropriate.

11. Disclaimers and Liability

To the extent permitted by applicable law, the Service is provided on an "as is" and "as available" basis. We do not guarantee uninterrupted operation, error-free AI results, successful email delivery, or any academic outcome.

Nothing in these Terms excludes liability that cannot legally be excluded or limits rights that cannot legally be limited under applicable law.

12. Suspension and Termination

Access may be restricted or terminated if these Terms are violated, the Service is abused, or access must be restricted for security or legal reasons. Where supported, you may stop using the Service and request deletion of your account and associated information.

13. Changes to These Terms

We may revise these Terms from time to time. Updated Terms will be published on this page with a revised update date.
